How to use the task list?

The Tasks feature allows you to create a task list and manage its completion. Tasks can be added to the default task list, and you can create additional task lists to organize tasks for more specific actions, such as work or personal projects. You can create a new task list and synchronize it with tasks from a remote iCal task list.

After completing a task, you may need to add information, change its status and completion percentage, or mark the task as completed.

Creating a task list:

When creating a new task, you choose the task folder, also known as the task list, in which the task should be tracked. By default, the Tasks list contains a view of all tasks in the Tasks folder. In addition to the default task list, you can create other task lists and configure them to synchronize with tasks from a remote iCal task list.

  1. Go to the Tasks page.
  2. In the preview pane, click the gear icon next to Tasks and select New Task List.
  3. Enter a name and choose a color for the new task list.
  4. To synchronize tasks with a remote server, select the checkbox and enter the URL.
  5. Click OK. The task list will appear in the list of task lists.

Creating a task:

You can create a new task by entering the task name in the task list or by opening the new task page and adding additional task information, including notes and attachments.

Quickly adding a task:

  1. Go to the Tasks page and select the task list to which you want to add a task in the preview pane.
  2. In the Click here to add a new task field in the content area, enter the name of the new task.
  3. Press Enter. This will add the task subject to the task list without entering any details. Edit the task to add details.

Note: If you accidentally created a task on the wrong list, open the task and select the desired list from the task list dropdown or drag the task to the desired list in the content area.

Creating a detailed task:

You can use task lists to create a task and track its progress. Additionally, you can write notes and attach files for easy access from the task. Having all the necessary information within the task is useful when sharing the task list.

You can estimate the duration of the project by using the start and due dates and setting a priority. When starting a task, you can select its status as Not Started or In Progress and specify the completion percentage.

  1. Go to the Tasks page and select New Task.
  2. Enter task information in the Details section. Only the subject is required to name the task.

    Select the task priority.

    Task List

    Select the task list in which this task should be displayed.
  3. Enter information in the Progress section to track the task's progress. This information is optional for the task.

    Start Date

    Set the task start date.

    Notification

    If email or SMS notification is configured in Settings > Notifications, select the appropriate checkbox for the reminder.

    If notifications are not configured, click the Configure button to go to the Settings > Notifications page and configure the settings.

    Add Attachments

    Click the Add Attachments button on the toolbar to enter notes in the text field and add attachments.

  4. Click Save.

Updating a task:

After completing a task, you may need to add information, change its status and completion percentage, or mark the task as completed.

  1. Go to the Tasks page and select the task you want to edit.
  2. Click Edit and make changes to the task.
  3. Click Save.

Filtering tasks by status:

You can filter tasks to quickly see the progress of tasks.

  • From the Filter by dropdown menu on the Tasks toolbar, select the type of tasks to display.

Sorting tasks in the task list:

To quickly view the progress of tasks, you can sort the task list.

  1. Go to the Tasks page.
  2. In the preview pane, select the task list you want to sort.
  3. In the content area header, right-click the Sort Key dropdown menu.
  4. Select the sorting method for the task list.

Displaying tasks in the reading pane:

You can use the Reading Pane to view the contents of a task without opening it. The reading area can be displayed below the content area, to the right, or turned off.

  1. Go to the Tasks page.
  2. Click the View option on the Tasks toolbar to choose how the reading pane is displayed.

The task list view pane does not show the task status, and the completion percentage is displayed as a progress bar.

Moving a task to another task list:

  1. Right-click on the task and select Move.
  2. Choose the task list to which you want to move the task.
    • Enter the task list name or use the arrow keys on the keyboard to navigate to the desired list.
    • Click New to create a new task list.
  3. Click OK.

Marking a task as completed:

  1. Go to the Tasks page and select one or more tasks that you want to mark as completed.
  2. In the task title bar, select Mark as Completed.

The task details will remain in the task folder until the task is deleted.

Printing a task or task list:

You can print all tasks from a list or select specific tasks to print.

  1. Go to the Tasks page.
  2. In the preview pane, select the task or task list to print. To select multiple tasks, check the box next to each task.
  3. In the content area, select the task or tasks to print.
  4. On the task toolbar, click the Print button and choose the desired option: Print Selected Tasks or Print Task Folder.
  5. In the Print dialog box, click OK.

Importing task lists:

You can import task lists saved in a ".tgz" file.

  1. Go to Preferences > Import and Export.
  2. Select Import > File, then click the Browse button and choose the TGZ file containing the task list to import.
  3. For the Destination parameter, choose All Folders, and then specify the task list to which the tasks will be imported or create a new one.
  4. Click the Import button.
  5. Depending on the size of the TGZ file, the import may take a few minutes.

Exporting a task list:

You can export a task list and save it as a TGZ file.

  1. Go to Preferences > Import and Export.
  2. Under Export > Type, select the data type to export: Accounts, Calendar, or Contacts.
  3. Choose the source and check the Advanced Settings box.
  4. Uncheck the checkboxes for all applications except for the Tasks application.
  5. Click the Export button.
  6. Check the Save to disk checkbox.
  7. Click OK.

  2. In the preview pane, select the task list that contains the tasks to delete.
  3. In the content area, select the tasks to delete. You can select multiple tasks by checking the box next to each task.
  4. On the toolbar, click the Delete button.

You can immediately undo this action by clicking the Undo link that appears at the top of the page. The task will be restored to its original location.

Deleting a task list:

You can only delete task lists that you have created.

  1. Go to the Tasks page.
  2. In the preview pane, select the task list you want to delete.
  3. Select Delete from the dropdown menu.
